Designing Collaborative Office Spaces Optimized for Hybrid Teams

Designed for Workplace experience leaders and office managers responsible for optimizing physical office environments to support hybrid (remote + in-person) teams in mid- to large-sized organizations. to spark real collaboration and high-energy learning.

A 90-minute hybrid workshop (simultaneous in-person and virtual attendees) set in an organization shifting from mostly in-person to sustained hybrid work. Participants are feeling stuck: remote staff feel isolated from spontaneous in-office collaboration, while on-site employees are frustrated with underused spaces and unclear hybrid etiquette.

Activity 1

The Mystery Room Reveal

Kick off by presenting 3 photos of radically different collaborative office setups (Google’s ‘campfire’ pods, a 'Zoom-friendly' huddle space, and a traditional boardroom with a single camera). Ask participants to choose which space they think produced the highest hybrid team engagement. The reveal often surprises and primes everyone to question their assumptions about what ‘collaborative’ really looks like for hybrid setups.

Why this works

Novelty and visual cues activate curiosity and prime the brain for learning. Making an unexpected choice surfaces latent beliefs and opens minds.

Activity 2

Hybrid Space Myths: True or False?

Present 3 bold statements about hybrid office collaboration, such as 'Open-plan spaces always promote more inclusion' and 'Remote workers benefit most from on-site ‘Zoom rooms’.' Have participants rate each as True or False on a quick poll, then unpack the real data behind the myths.

Why this works

Activity 3

Worst Office, Best Fix

Break the ice with a low-stakes brainstorm: ‘What’s the most frustrating hybrid office setup you’ve ever seen — or heard of?’ Collect (anonymized) pain points on a virtual whiteboard, then let participants suggest ‘tiny tweaks’ that could make each space more hybrid-friendly.

Build Your Dream Hybrid Space

Get everyone moving with a rapid, energetic ‘design-off.’ In small groups (in-person and breakout rooms), teams quickly sketch or map out their own ‘dream’ collaborative hybrid office. Props: physical whiteboards, digital jam boards, or even sticky notes and string. Each group does a 1-minute ‘sell us’ pitch at the end.

Case Crisis: The ‘Ghost Town’ Dilemma

Present a short, true-to-life scenario: ‘Your company just renovated for hybrid work, but now the “collab” zones are mostly empty, while a few private booths are overbooked and remote team members feel left out. What do you do next?’ Teams work through the dilemma, choosing from realistic options and defending their choice.

Why this works

Anchoring design challenges in lived business dilemmas builds transfer. The ambiguity of real-world problems boosts critical thinking and empathy.

Activity 6

Hybrid Space Commitment Circle

End with a guided reflection: each participant writes one concrete personal commitment — what will they change, trial, or question about their current office? For added meaning, use a digital ‘commitment wall’ or, in-person, post-it pledges. Participants can (optionally) share their intentions aloud or in chat.
